All of us at Emergency Reporting are excited to announce the full release of our new Roles and Permissions (R&P) security settings. Thanks to extensive feedback from our beta testers, we know you’ll enjoy having more refined control of your ER account.
This introduction to Roles and Permissions will bring you up to speed as we begin converting every ER account to this new administrative control over the next few weeks.
We highly encourage you to take full advantage of our Knowledge Base Articles, upcoming live Virtual Training sessions, and previously recorded webinars in order to fully understand this powerful new tool.
As we get started, let’s answer a couple of key questions:
What are the new R&P settings?
R&P replaces our Module-based permissions settings. We found that basing system access on the Modules was too limiting. For example, giving someone FULL permissions granted too much access, and LIMITED permissions provided too little. With the new R&P, that won’t be a problem: Now the permissions are what we call “granular,” meaning that you have the ability to control who has access to certain elements within the system. This new tool is powerful enough that our developers can create permissions down to the field level.
Sounds cool to me…As my department’s local ER Administrator, is there anything I need to do?
Our team will be converting existing accounts from the legacy permissions controls to the new Roles and Permissions during December 2018 / January 2019. No action is required by the customer to convert their account.
During the conversion process, each combination of the existing Module access permissions are analyzed and placed into an auto-generated role.
- Each person is automatically assigned to one of those auto-generated roles (based on their legacy permissions).
- Your Roles and Permissions Main Grid will appear very similar to this example:
One important thing you will need to do is to assign a user to the Primary Administrator role via the ‘Security Primary Administrator Role’ link in the Security section on the Administration page:
Please note – Anyone with Full Access to the Administration Module can manage Roles & Permissions. Setting a Primary Administrator serves two key purposes:
- Provides each agency a lead administrator and;
- Identifies that person within our back-end account management tool.
Primary Administrators are expected to:
- Review all auto generated roles
- Review all the personnel assigned to these roles
- Rename the roles to something more meaningful to your agency
- Reassign personnel to different roles where applicable
- Edit and create new roles as needed
